Terms of Service

1. Agreement to these terms
By creating an account or using the r4ptor platform ("Service"), you agree to be bound by these Terms of Service. If you do not agree, do not use the Service.
r4ptor is operated by James Readhead, trading as r4ptor, based in England and Wales ("we", "us", "our"). These terms are governed by the laws of England and Wales.
2. The Service
r4ptor is a cloud-based martial arts school management platform. It provides tools for managing students, classes, attendance, gradings and communications.
Each club receives a private subdomain (e.g. yourclub.r4ptor.app) with an isolated database. We reserve the right to modify, suspend or discontinue any part of the Service with reasonable notice.
3. Account registration
To use r4ptor you must create an account with a valid email address. You are responsible for:
- Keeping your login credentials secure and confidential
- All activity that occurs under your account
- Notifying us immediately at [email protected] if you suspect unauthorised access
You must be at least 18 years old to create an account.
4. Free trial
New accounts include a 14-day free trial with full access to all features. No credit card is required to start a trial.
At the end of the trial period, you will need to subscribe to a paid plan to retain access. Trial data is not deleted immediately after expiry — you have a short grace period to subscribe before your account becomes inactive.
5. Subscriptions and payment
Paid subscriptions are available on a monthly or annual basis. Prices are as displayed on r4ptor.app at the time of purchase.
Payments are processed by Stripe, Inc. Stripe's terms and privacy policy apply to all payment transactions. We do not store card details.
Subscriptions renew automatically at the end of each billing period. By subscribing, you authorise us to charge your payment method on a recurring basis until you cancel.
You are responsible for all applicable taxes. Prices shown may be exclusive of VAT where applicable.
6. Cancellation
You may cancel your subscription at any time. Cancellation takes effect at the end of the current billing period. You will retain full access until that date.
We do not offer refunds. If you cancel mid-period, you will not receive a refund for the unused portion of that period. You will continue to have full access until the billing period ends.
To cancel, use the billing management link in your account settings or email [email protected].
7. Inactive and free accounts
Free-plan accounts (after trial expiry or after cancellation) that have not been logged into for 30 consecutive days will be automatically deleted. We will send email warnings at 7 days, 3 days and 1 day before deletion.
You can prevent deletion at any time by logging in or upgrading to a paid plan.
8. Your data
You retain ownership of all data you upload or create in the Service. By using r4ptor, you grant us a limited licence to process and store that data solely for the purpose of providing the Service to you.
As the account holder, you are the data controller for any personal data about your students and members. You are responsible for ensuring you have the appropriate legal basis to collect and process that data under UK GDPR. Our Privacy Policy explains how we process data as your data processor.
We do not sell, rent or use your data for any purpose other than operating the Service.
9. Acceptable use
You agree not to:
- Use the Service for any unlawful purpose or in violation of any applicable law or regulation
- Upload or transmit any content that is abusive, harassing, defamatory or otherwise objectionable
- Attempt to gain unauthorised access to any part of the Service or its infrastructure
- Interfere with or disrupt the integrity or performance of the Service
- Use automated means to scrape, crawl or extract data from the Service without permission
- Impersonate any person or entity or misrepresent your affiliation with any person or entity
We reserve the right to suspend or terminate any account that we believe, in our reasonable judgement, is in breach of this section.
10. Service availability
We aim to keep r4ptor available and reliable but do not guarantee uninterrupted access. The Service is provided on an "as is" and "as available" basis. We may carry out maintenance, upgrades or emergency repairs that temporarily affect availability. We will endeavour to give reasonable advance notice of planned downtime where possible.
11. Limitation of liability
To the fullest extent permitted by law:
- We are not liable for any indirect, incidental, special, consequential or punitive damages arising from your use of the Service
- Our total liability to you for any claim arising from these terms or your use of the Service shall not exceed the total fees paid by you in the three months preceding the claim
- We are not liable for any loss of data, revenue, profits or business arising from interruption to the Service or deletion of inactive accounts where appropriate warnings were given
Nothing in these terms limits liability for death or personal injury caused by negligence, or for fraud, or for any other liability that cannot be excluded by law.
12. Intellectual property
r4ptor, including all software, design, trademarks and content, is owned by James Readhead trading as r4ptor. You are granted a limited, non-exclusive, non-transferable licence to use the Service for its intended purpose only.
You may not copy, reproduce, modify, distribute or create derivative works of any part of r4ptor without our written consent.
13. Termination
We may suspend or terminate your account immediately if:
- You breach these Terms of Service
- We are required to do so by law
- Continued provision of the Service to you becomes commercially or technically unviable
You may terminate your account at any time by cancelling your subscription and ceasing to use the Service. Upon termination, your data will be deleted within 30 days.
14. Changes to these terms
We may update these terms from time to time. We will notify you of significant changes by email at least 14 days before they take effect. Continued use of the Service after that date constitutes acceptance of the revised terms.
15. Governing law and disputes
These terms are governed by the laws of England and Wales. Any dispute arising under or in connection with these terms shall be subject to the exclusive jurisdiction of the courts of England and Wales.
