Reports

r4ptor has five reports, all accessible from Admin → Reports.

Club Health

The main dashboard report. Shows a snapshot of how your club is doing right now — who to celebrate, who needs a check-in, and a month-by-month attendance summary.

Go to Reports → Club Health.

Monthly attendance summary

At the top of the page, a month selector (← →) lets you browse any past month. For each class that held sessions that month:

  • Sessions held and overall group attendance %
  • Perfect attendance — students who attended every session
  • High attendance — students at 75–99%
  • SOW winners that month
  • New joiners who started that month

Tap a class card to expand its breakdown.

Trial Pipeline

A card showing leads created this month, lifetime conversion rate, and a breakdown by pipeline status — so trial-lead activity, a leading indicator of club health, is visible alongside attendance rather than only in the New Starter Pipeline itself.

Health alerts

Below the monthly summary, six alert panels surface students who need attention or recognition — all based on the last 12 sessions (rolling, not month-bounded):

PanelColourThreshold
On a streakOrange6+ consecutive sessions attended
LapsedRed3+ sessions missed in a row
At riskAmberOverall attendance below 60% (4+ sessions recorded)
Most improvedGreenAttendance up 25%+ in recent 6 sessions vs prior 6
New studentsBlueJoined within the last 8 weeks
AnniversariesPurpleTraining anniversary within ±7 days

Each panel shows a count badge and expands to list the individual students with their relevant metric.

Known absences don't count against a student for Lapsed/At risk

A known absence — marked in the register when the instructor was told about it in advance — never triggers Lapsed or At risk on its own; only unexplained gaps do. Streaks and Most improved are unaffected either way. The attendance % and miss-count shown on a flagged student is always their real, unadjusted figure — only the decision to flag them changes.

tip

The Lapsed and At risk lists are the ones to act on. Open a student's profile directly from the alert card, then use Send Comms to reach out.

Student of the Week

The SOW report shows the full GOLD award history per class, in reverse chronological order.

Go to Reports → Student of the Week.

Each class is shown as an accordion — tap to expand. Awards are listed by date showing the student name and class.

SOW can only be awarded to students marked present in that session. See Taking the Register for how to award SOW during a session.

If a student has moved class (e.g. promoted from Snakes & Cranes into Juniors), their new class's numbers include wins from their old class too, as long as they genuinely trained there — never from a one-off guest appearance. The old class's own figures are never changed or reduced; the win simply counts in both places, the same way attendance history already carries across a class move.

Projected/Actual Grade Figures

A pre-ordering tally for an upcoming grading — how many of each sash colour to order. Formerly called Sash Order; same report, now with two bases to tally from.

Go to Reports → Projected/Actual Grade Figures.

Two top tabs:

TabCounts
ProjectedEveryone marked Eligible for next grade (set on the student profile or in bulk from People — see People) — a rough early number, based on who the instructor thinks is ready
ActualOnly students who are both Confirmed for next Grading Day and have their grading fee marked Paid — who's actually signed up and paid, a firmer number to order against closer to the day

Both tabs share the same layout below them. The tally is always the sash a student is due next, not their current grade — a White-graded student due to grade counts towards White/Bronze, for example.

Two views under either tab:

  • By Branch — one number per sash colour, combined for the whole school
  • By Class — the same tally split per class, useful when you run more than one class of the same student type

Each view also includes a Total row across all sashes.

Student types sharing an identical syllabus combine automatically

If two student types (e.g. Juniors and Teens) use exactly the same grade sequence — same sash names, same order — the By Branch view combines them into one section rather than showing two identical-looking lists you'd have to add up by hand. Student types with a genuinely different syllabus (Adults, Snakes & Cranes) are never combined. This is detected automatically from your actual curriculum, so it works the same way for any club's setup.

Eligible, Confirmed, and Paid all reset automatically whenever a student's grade actually changes, and club-wide when a Grading Day is completed — so none of them silently carry over and inflate a future order. If your club also reports figures to a head office, see Grading Day → HQ Grading Figures for a one-click export built on the same Confirmed-and-Paid basis as the Actual tab.

Attendance Grid

Answers "who's actually eligible to grade" from real attendance history, instead of a gut call.

Go to Reports → Attendance Grid.

Branch Grade Readiness

Above the class tables, four figures summarise the whole branch at a glance: Total students, Eligible (% of total), Confirmed (% of Eligible), and — if SumUp Order Tracking is on — Paid (% of Confirmed). A student enrolled in two classes is only counted once. No more scrolling every class's table to tally where the branch stands ahead of a grading day.

One table per active class that's had at least one register taken: the current roster down the side, that class's last 12 held sessions across the top, a ✓ or ✕ for each one attended. At the end of each row, an attended x/y count and a % for the whole period. Classes are listed in calendar order — day of week, then start time — not alphabetically.

A student is only judged against sessions held since they actually joined — a recent joiner's earlier columns show as "not yet enrolled" rather than counting as a miss. Unlike Club Health's At Risk/Lapsed alerts, a known (instructor-confirmed) absence still counts as a miss here — a deliberately simpler, single rule for a grading decision.

Click Surname, Forename, or Sash to sort — click again to reverse, click a third time to clear, or click more than one to build a compound sort (e.g. Sash then Surname).

Eligible / Confirmed toggles

Two toggles at the end of each row set the same Eligible for next grade / Confirmed for next Grading Day fields as People's bulk toolbar — save directly from the attendance data in front of you, no need to switch screens.

Confirmed requires Eligible

A student can't be marked Confirmed until they're already marked Eligible — attempting it shows a toast explaining why. Turning Eligible off automatically clears Confirmed too, so a student can never be left in an inconsistent state.

Paid/Unpaid (if SumUp Order Tracking is enabled)

If your branch has turned on SumUp Order Tracking (see Settings), a read-only Paid/Unpaid pill appears at the end of each row showing whether that student's grading fee has been detected as paid. See Grading Day → Payments for how a payment gets matched.

If a student shows Paid but isn't yet Confirmed, a small flag appears next to the pill — click it to mark them Confirmed on the spot, same rule as above. The same flag also appears on the Revenue page's payments table, so either screen works.

Staff Fees

Shows staff pay for the current month and last month.

Go to Reports → Staff Fees.

For each staff member who was marked present in at least one session:

ColumnDetail
Hourly rateTaken from the staff profile
SessionsNumber of sessions they attended this period
TotalRate × hours, where hours = sessions × max(duration, 60 min)

A minimum of 1 hour is charged per session regardless of class duration — so a 45-minute class still counts as 1 hour of pay.

Staff rates are set on each staff profile. Go to People → Staff to update them.

Sessions that were never actually held don't count

A session that was merely opened (e.g. checking the wrong day by accident) but never had a register taken doesn't count towards a staff member's sessions or pay — only sessions where Class held is genuinely on are counted. If the report finds a session where a staff member was marked present but the class was never actually held, it's excluded from the total and shown as an N flagged pill next to their name.

Tap the pill to see why — a plain-language explanation (marked present, but no students were recorded, so it doesn't count) followed by each flagged session's class and date. Tap a session to jump straight into that exact class and date's register, so you can check whether it should have been held and fix it at the source rather than the discrepancy resurfacing every month.
