r4ptor uses a simple plan model. Every new instance starts on a 14-day free trial with full access, then either upgrades to Pro or drops to the free plan.

Trial
Every new instance starts with a 14-day trial. You get full access to everything — lesson planner, comms, AI insights, data export — with no card required.
A banner on the home screen shows how many days remain. When 7 days are left the banner turns amber. At expiry, the instance automatically drops to the free plan.
Free
Permanently available at no cost. Suitable for clubs just getting started or those who only need the attendance register.
Free plan restrictions:
- Maximum 25 active students
- Maximum 3 active classes
- Lesson Planner, Communications, and AI Insights are Pro-only
- Data Export is available on all plans
Pro
Full access with no limits. Billed monthly (£30) or annually (£300 — equivalent to £25/month).
Upgrade from the home screen at any time during or after the trial.
Cancelled
If a Pro subscription is cancelled, the instance drops back to the free plan feature set. Your data is preserved — you keep full access to the register, people, and reports. You can re-subscribe at any time.
Upgrading to Pro
- Tap the Upgrade button in the plan banner on the home screen, or tap any Pro-only feature tile
- Choose Monthly (£30/mo) or Annual (£300/yr)
- Complete payment via Stripe — card details handled securely by Stripe, never stored on r4ptor servers
- Your instance upgrades to Pro immediately on payment confirmation
Managing Your Subscription
Pro subscribers can manage their subscription (update card, view invoices, cancel) via the Manage button on the Upgrade screen. This opens the Stripe Customer Portal in a new tab.
Auto-Deletion of Inactive Free Accounts
Free accounts that have not been logged into for 30 days are automatically deleted.
Warning emails are sent at:
- 7 days before deletion (23 days idle)
- 3 days before deletion (27 days idle)
- 1 day before deletion (29 days idle)
Logging in at any point resets the inactivity clock. Upgrading to Pro removes the inactivity limit entirely — Pro accounts are never auto-deleted.
Auto-deletion is permanent. There is no recovery after deletion. If you are on the free plan and won't be logging in for a while, either upgrade to Pro or export your data first using the Data Export tile.
Data Export
All plan types can export their full dataset at any time from Admin → Data Export. The export is a ZIP file containing 8 CSVs covering all students, classes, attendance, communications history, curriculum, and staff.
This export is compliant with GDPR Article 20 (right to data portability).
